NurseVox LLC ("NurseVox," "we," "our," or "us") operates the NurseVox interview preparation platform available at nursevox.com and app.nursevox.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

By using NurseVox, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Information We Collect

We collect information you provide directly to us, including:

• Account registration information: name, email address, and password
• Payment information processed securely through Stripe (we do not store full card numbers)
• Interview session data: your spoken and written responses during practice sessions
• Session recordings when you use video mock interview features (stored in encrypted form)
• Communications you send to us

We also collect certain information automatically when you use our platform, including device type, browser, IP address, pages visited, and feature usage patterns.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the NurseVox platform
• Personalize your interview practice experience and track your progress
• Process payments and manage subscriptions
• Send transactional communications including trial reminders and receipts
• Respond to your questions and provide support
• Analyze platform usage to improve features and content
• Comply with legal obligations

4. AI Processing and Session Data

NurseVox uses AI services to analyze your interview responses and generate feedback. Your session data, including text responses and audio recordings, is processed through our AI infrastructure to provide coaching and scoring. We do not use your session content to train third-party AI models without your explicit consent.

Session recordings are retained for the duration specified in your plan (30 days for Pro, 90 days for Pro+) and then automatically deleted.

5. No PHI Collection

NurseVox is an interview preparation platform and does not collect, store, or process Protected Health Information (PHI) as defined under HIPAA. Do not submit any patient information, medical records, or clinical data through the NurseVox platform.

6. Information Sharing

We may share your information with:

• Service providers who assist in operating our platform (Stripe for payments, AWS for hosting, SendGrid for email, and AI service providers for coaching)
• Institutional administrators if your account is part of a school or program license
• Law enforcement or regulators when required by law
• Acquirers in the event of a merger or sale, with notice to you

7. Institutional Accounts

If you access NurseVox through a school, nursing program, or institutional license, your institution's administrator may have access to your usage data, progress metrics, and session debrief reports. Personal session recordings remain private to you unless you explicitly share them.

8. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest for session recordings, and access controls. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

9. Data Retention

We retain your account information for as long as your account is active or as needed to provide services. Session recordings are deleted per your plan's retention schedule. You may request deletion of your account and associated data at any time by contacting privacy@nursevox.com.

10. Your Rights

Depending on your location, you may have the right to access, correct, delete, or export your personal data. To exercise these rights, contact us at privacy@nursevox.com. We will respond within 30 days.

11. Cookies

We use essential cookies to operate the platform and optional analytics cookies to understand usage. You may disable non-essential cookies in your browser settings.

12. Children's Privacy

NurseVox is intended for users 18 years of age and older. We do not knowingly collect personal information from individuals under 18. If we learn we have collected information from a minor, we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the platform. Continued use of NurseVox after changes constitutes acceptance of the updated policy.
